View trips you have booked for others

Arrangers are able to book travel for other travelers. When operating as an arranger, you can view the bookings for the traveler for whom you are arranging (on their Trips page) or for all travelers you arrange for (on the Company Trips page). 

To view the trips you have booked for an individual traveler

  1. Log in to the Spotnana Online Booking tool.
  2. Select Trips from the top menu. The Trips page will be displayed.
  3. Click the X button next to your name in the top right. A search field will be displayed. 
  4. Enter the name of the traveler whose travel bookings you wish to view. 
  5. When their name is displayed, use the Upcoming, Completed, and Cancelled tabs to locate the bookings you wish to view.
Remember to use the X button on the Trips page to switch the traveler back to yourself when done.

To view all trips you have arranged

Arrangers can access the Company trips page. This page provides access to all trips you have arranged within your company (not just your personal trips). 

To access the Company trips page, click Trips in the main menu and then select Trips from the Company section. 

Each row on the Company trips page displays the trip’s start and end dates, trip name, traveler name, booking type, trip ID, policy status, and trip status. 

Here are some tips for using the Company trips page.

  • To change the type of trips you are viewing, select the relevant status from the menu. Options are Upcoming, Completed, Canceled, Requires attention. The default value is Upcoming

  • To find a particular trip, use the search function to look up trips by name, email, trip ID, or PNR ID.  

  • To find a find all trips that you've arranged for a particular traveler, use the search function to look up their name and then select it. You can also view completed, canceled, or trips which require attention for this user by using the menu on the left. 

  • To download details associated with a particular trip, click the ellipsis menu on the right side of the trip’s row and select Download

  • To email yourself or a colleague the details of a particular trip, click the ellipsis menu on the right side of the trip’s row and select Share. The Share this trip screen will appear. Click Add to add the email addresses of other recipients. When done, click Send Email.

  • To view details about a particular trip, click its name.

  • To change the columns that are displayed, select the Columns menu and then select the checkboxes of the columns you wish to appear. To remove a column, clear its checkbox. 

  • To copy the trip ID of a particular trip, click the copy button next to the Trip ID of the desired trip.

  • Each page on the Company trips page displays up to 10 rows. To view the next 10 trips, click the > arrow at the bottom right (where page numbers are displayed).
