View trips for travelers in your company

All Trips tab

Administrators, Company Arrangers, and Travel Arrangers can access the All Trips tab on the Trips page. This page provides access to the trips of other travelers within your company (not just your personal trips). The trips displayed will depend on your role and permissions:

To access the All trips tab:

  1. Click Trips in the main menu. The Trips page will be displayed.
  2. Select the All Trips tab. Each row on the All trips page displays the trip’s start and end dates, trip name, traveler name, booking type, trip ID, policy status, and trip status. 

Here are some tips for using the All trips tab.

  • To change the trip stages you are viewing, select one of the following from the menu. Options are:

    • Upcoming: Trips with bookings that occur in the future. Trips in this stage can have a status of Draft, Confirmed, Starting soon, In progress, or Requires attention

    • Completed: Trips where all bookings have all been completed.

    • Canceled: Trips where all bookings have been canceled. 

  • Commonly used filters: You can use one or more filters to limit the trips shown to particular criteria.

    • To view only trips which require attention, click Requires attention only. This allows you to quickly focus on these trips and solve the issue. 

    • To set a date range for the trips to be displayed, use the Trip start date and Trip end date fields and the calendar feature. The values selected here will also take into account any dates associated with the allowed booking dates of trips based on trip templates or events. 

    • Use the Booking type menu to select the relevant booking types (e.g., Air, Hotel).

    • To limit the trips shown to only those that are in or out of policy, click the Policy status menu and select the relevant options. 

    • To limit the trips shown to only those created by a particular user, click the Created by menu and use the search field to find and select the relevant users.

    • To limit the trips shown to only those based on a particular trip template, click the Trip template menu and use the search field to find and select the relevant templates. This filter requires that at least one trip template has been created. 
  • Search: To find a particular trip, use the search function to look up trips by name, traveler name, traveler email, trip ID, or PNR ID.  

  • Download: To download details associated with a particular trip, click the ellipsis menu on the right side of the trip’s row and select Download

  • Share via email: To email yourself or a colleague the details of a particular trip, click the ellipsis menu on the right side of the trip’s row and select Share. The Share this trip screen will appear. Click Add to add the email addresses of other recipients. When done, click Send Email.

  • View a trip: To view details about a particular trip, click its name.

  • Columns displayed:  To change the columns that are displayed, select the Columns menu and then select the checkboxes of the columns you wish to appear. To remove a column, clear its checkbox. 

  • Copy a trip ID: To copy the trip ID of a particular trip, click the copy button next to the Trip ID of the desired trip.

  • Display more rows: Each page on the All trips page displays up to 10 rows. To view the next 10 trips, click the > arrow at the bottom right (where page numbers are displayed).  

  • Create trips: To create a new trip, click Create, then select Standard trip, Trips from template, or Event from template from the Create menu. To create a trip or event from a template, at least one trip template must exist. Only users with the Company Arranger or Company Administrator role can create trips using templates.
