Set approval type

You can set the type of approval that will be used for bookings that are in and/or out of policy. 

  • None - When this approval type is selected, all bookings will proceed without approval. 
  • Soft approval - When this approval type is selected, the booking will proceed so long as the approver does not decline the booking. It the approver declines the booking, the booking will be canceled.
  • Hard approval - When this approval type is selected, the booking will be cancelled unless the approver approves the booking. If the approver approves the booking, the booking will proceed.
  • Passive approval: No approvals will be required for this type of booking. However, the manager or designated approver will receive an email notification of the booking. 

To set the approval type

  1. Login to the Online Booking tool.
  2. Select Policies from the Program menu. 
  3. Expand the Policy menu on the left.
  4. Select the Default Policy (or the desired policy) from the menu.
  5. Expand the General section.
  6. Locate the Approval section
  7. Then, set the approvals to either None, Soft approval, Hard approval, or Passive approval for each booking type for both in- and out-of-policy bookings (see Setting approval policies for definitions of these approval types):
    • Air (for in-policy and out-of-policy bookings)
    • Hotel (for in-policy and out-of-policy bookings)
    • Rail (for in-policy and out-of-policy bookings) - Due to rail carrier restrictions related to void periods and refundability, soft and hard approvals are not available for rail. Rail can only be set to Passive Approval or None.
    • Car (for in-policy and out-of-policy bookings)
  8. You can also set the approver to be either the Employee's manager or a Designated approver. If you select Designate approver, you must click Add Approver and designate 1 or more approvers.
