Assign yourself as an arranger for travelers

Arrangers are able to make travel bookings for other travelers. Arrangers will receive booking and confirmation notifications for the travelers for whom they arrange travel. 

To become an arranger for other travelers, you must have the "Travel Arranger" role assigned to you and request permission (via the Spotnana Online Booking Tool) from the travelers for whom you want to arrange travel. This is required to ensure you receive the consent of the traveler to view their personal information (which is often present in bookings). 
If you have been set as the "Travel Arranger" role for "Everyone" at your company, you will not need to obtain traveler consent or assign yourself to individual travelers. 
If you do not have the "Travel Arranger" role, contact your company administrator to obtain it. 

Use this procedure to request being assigned as a travel arranger for a particular traveler. If you have been assigned as a travel arranger for everyone at your company, you will not require this proceu 

  1. Log in to the Online Booking Tool.
  2. In the top right, locate the icon with your initial(s) and expand the menu next to it. 
  3. Select My Profile. The Profile page will be displayed.
  4. Select Configuration from the left side navigation. The Configuration page will be displayed. 
  5. Select the My travelers tab in the Arranger section. This tab is only visible to users with the "Travel Arranger" role. 
  6. Click Add Traveler. A search box will appear.
  7. Enter the name or email of the traveler for whom you wish to become a travel arranger. 
  8. Once you have located the desired traveler account, click the name. A request will be sent to the traveler you selected asking them to grant you permission to be their travel arranger. Until that request is approved, the status of this traveler will be Pending. The traveler may also specify if you allowed to receive email notifications related to their bookings. Once approved by the traveler, the status of the traveler will change to Active and you will be able to make travel bookings for them.
