Create and configure Lodge cards

Lodge cards are a form of payment method that are designed for corporate travel. They are accepted as a form of payment by many airlines. However, in many cases, they can’t be charged on payment gateways. Certain lodge cards are only accepted by a limited number of airlines. 

As a result, lodge cards that can’t be charged on payment gateways and/or only work on a limited number of airlines, must be added as a payment method to the air supplier program configuration.


Note: The process to edit an existing lodge card with an airline program is very similar to the process described below for creating a new one. 

To create a new lodge card

  1. Select Company from the Program menu. 

  2. Expand the Supplier menu on the left hand side. 

  3. Select Supplier programs.

  4. Select the Air tab.

  5. Scroll down to the Airline program section.  

  6. Click Add New. The Add new airline program - Step 1 page will be displayed. 

  7. Select Lodge card from the menu. 

  8. Select the relevant airline(s). These will be the airlines for which you allow bookings to be made using this lodge card. 

  9. Enter a name in the Program label field (under Card details). 

  10. Enter your company name in the Cardholder name field.

  11. Enter the card number provided by the airline in the Card number field.

  12. Enter the lodge card expiration date (provided by the issuing bank) in the Expiration date field.

  13. Enter your billing address information in the fields provided.

  14. Click Next. The Add airline program - Step 2 page will be displayed. 

  15. Use the User roles field to set who can see and use this lodge card when booking. Options are:

    • Everyone - Everyone in your company will be able to view and use the lodge card (unless you limit by location in the next field)

    • Admins and agents only - Only administrators and agents will be able to view and use the lodge card.

    • Agents only -  Only agents will be able to view and use the lodge card.

  16. Use the Profile type field to set who can see this lodge card when booking (e.g., All travelers, employee, personal guest, etc.).

  17. Use the Trip type field to set the type of trips for which this lodge card can be used when booking (e.g., Standard trips, Event/Template trips).

  18. Use the Specify the location of the users you have selected field to set the users who can use this lodge card to pay for bookings. Options are: 

    • All employees in your company - The card may be used to pay for the air bookings of all employees in your company (assuming they meet the criteria specified in the fields above). 

    • Only employees in specific countries, legal entities, departments, or cost centers - The card may only be used to pay for the air bookings of employees located in the locations you specify (assuming they meet the criteria specified in the fields above). 

      1. For example, if you selected Admins and agents only in the field above and had set this field to only Germany and Austria, then only administrators and agents would be able to access this card and would only be able to book air travel for employees located in Germany and Austria. 

  19. Click Save. The airline program credit you have just defined will be added and available to the users you have specified.  

To view existing lodge card definitions

  1. Select Company from the Program menu. 

  2. Expand the Supplier menu on the left hand side. 

  3. Select Supplier programs.

  4. Select the Air tab.

  5. Scroll down to the Airline program section. Your existing airline lodge cards will be displayed.
