Edit my profile

  1. Log in to the Online Booking Tool.
  2. In the top right, locate the icon with your initial(s) and expand the menu next to it. 
  3. Select My Profile. The Profile page will be displayed. This page contains several sections, each of which allow you to edit different information within your profile. 
    SectionContains
    PersonalUse this section to:
    • edit any of the information under Traveler Name and add or change a profile photo. You can also specify a Preferred name. The preferred named will appear on the home, trips, and itinerary pages. However, the legal name will continue to be used for bookings since that must exactly match the ID document(s) used to book and travel.
    • update your gender, date of birth, or personal pronoun. Options for personal pronouns are:
      • He/him/his
      • She/her/hers
      • They/them/theirs
    • update your contact details. To add a new one, click +.
    • update your preferred language. To change it, select the desired value from the menu. 
    • update your email address.
    • update your mailing address. To add a new one, click +.
    • update any of your travel document. This includes your passport, National ID, Known traveler number (KTN), or Redress number. To add a new one, click +.
    • update your emergency contacts. To add a new one, click +.
    • enter any additional traveler information. 
    If you have made any changes to this section, be sure to click Save Changes
    Note: Your full name in your travel documents (passport, etc.) and any loyalty membership information must exactly match your full name in your Spotnana profile. 
    ConfigurationUse this section to designate your arranger or secondary approver.
    Arranger
    A travel arranger is able to make travel bookings for you and view any of your existing bookings. Arrangers will also be notified when any changes occur to your bookings.
    • To add an arranger, click Add Arranger and then search for their name in the field provided. Once you locate the desired user account, select their name. The selected user will be added to your list of arrangers.
    Secondary Approver
    A secondary approver is someone you designate to approve bookings in case you are unavailable (e.g., out of office). The approvers you specify here will be able to approve any bookings that have been assigned to you for approval. All approvers will receive email notifications for the bookings they are responsible for approving. 
    • To add a secondary approver, click Add approver and then search for their name in the field provided. Once you locate the desired user account, select their name. The selected user will be added to your list of secondary approvers.
    WorkThese settings are related to your company (employer) and are generally not editable. If you need changes made, you should contact an administrator. This section lists your:
    • work title (Designation)
    • cost center
    • department
    • employee number (if relevant)
    • work email
    • work address
    Preferences
    Use this section to:
    • specify your flight preferences (e.g., 1 stop or less).
    • specify your preferred flight alliance
    • specify your preferred airlines. You can search for the airline logo and then select it. 
    • specify cabin and seat preferences (for air travel). You can make different selections for flights up to 3 hours, up to 6 hours, and over 6 hours. 
    • specify seat amenity preferences (e.g., wiki, flatbed, in seat power). 
    • specify meal preferences.
    • set your alert preferences. This controls when you will receive emails and which emails will receive them. To add a new email, select the Custom Emails checkbox and enter the desired email (or select + Add Email if you already have custom emails enabled). For more details, see Set alert and notification preferences.
    If you have made any changes to this section, be sure to click Save Changes.
    LoyaltyUse this section to add any frequent flyer programs you may be a member of. To add a new program, click +. Then select the relevant program, enter your program ID number, and click Save.
    PaymentCredit Cards
    This section will display the payment methods you can use for travel bookings. Use this section to add personal and individual corporate credit cards.
    To add a new credit card:
    1. Click +. The Add credit card dialog box will be displayed.
    2. Enter all required information. 
    3. Select the travel bookings for which this credit card may be used (e.g., Flight, Hotel, etc.)
    4. Click Save.
    If your organization has other payment methods such as central or virtual cards set up for employees, these payment methods will not appear in this section of your profile. However, they will be available for selection from the Checkout page when completing travel bookings. Hotels often require a personal or individual corporate card as an additional mode of payment.

    Unused Credits

    This section will also display any unused flight credits available to you.
