Set notification preferences

Different users can configure their email notification settings. 

  • All travelers can set the email notifications and alerts they will for the travel bookings they make or that have been made for them by a travel arranger. 
  • Arrangers can set the email notifications they receive for travel bookings they arrange or that are made by other arrangers or travelers. 
  • Approvers can set the email notifications they receive.

Booking notification types

  • Booking confirmations - These are the notifications for the initial booking of all travel types (air, hotel, car). These include itinerary and approval confirmations and are sent whenever a new booking is made.
  • Booking changes - These are the notifications for any changes made to existing bookings for all travel types (air, hotel, car). For example, a date change, seat assignment change, cancellation, etc.
  • Flight updates - These are the notifications for any real-time changes related to flight status, flight delays, gate changes, etc. These updates are only relevant to air bookings. They are sent whenever there is a change to an upcoming flight in one of your trips.
  • Booking reminders - These are notifications to remind you about upcoming travel for all travel types. For example, check-in reminders for a flight.

Approval notification types

  • Approval requests - These are the notifications when a traveler makes a initial booking that requires approval.
  • Booking updates - These are the notifications related to the outcome of an approval for a booking. For example, the approval being granted, denied, or expiring. 

Setting notifications for your own travel bookings

Use this procedure to set your preferences for receiving notifications related to your own travel. 

  1. Log in to the Online Booking Tool.
  2. In the top right, locate the icon with your initial(s) and expand the menu next to it. 
  3. Select My Profile. The Profile page will be displayed.
  4. Select Notifications from the left side navigation under Profile. The Notifications page will be displayed.
  5. Under the My bookings section, use the checkboxes to set your notifications preferences as desired. For a list of notification types, see Booking notification types above.
  6. Select the email to which these notifications will be sent. By default, your work email will always receive the notifications you enable. To set additional emails to receive notifications, click Change. The Email recipients dialog will appear. 
    • Click Add to add another email.
    • Enter the email address in the field provided. 
    • Click the delete button (Trashcan icon) to delete an email.
    • Click Save when done. 

Setting notifications for travel bookings made for travelers you arrange for

  1. Log in to the Online Booking Tool.
  2. In the top right, locate the icon with your initial(s) and expand the menu next to it. 
  3. Select My Profile. The Profile page will be displayed.
  4. Select Notifications from the left side navigation under Profile. The Notifications page will be displayed.
  5. Under the Travelers I arrange for section, use the checkboxes to set your notifications preferences as desired. For a list of notification types, see Booking notification types above. These settings do not affect whether the travelers themselves receive these notifications. 
  6. To further configure each notification, click Edit in its row. The Select travelers dialog will appear.
    • Specify whether you wish to receive this notifications for all travelers you arrange travel for or only for specific travelers. To receive this notification only for specific travelers, select Select travelers and then enter the name of each traveler for whom you want to receive notifications (you will only be able to select travelers you arrange for).
    • Specify whether you with to receive this notification only when the original booking was made by you. You can also choose to receive this notification for bookings made by other travel arrangers (who also arrange travel for the same travelers). 
      • Note: Users with the role of Company Arranger or Company Administrator can potentially receive notifications for all travelers in the company.  
    • You can also select additional emails to which this notifications will be sent. By default, your work email will always receive the notifications you enable. 
      • Click Add to add another email.
      • Enter the email address in the field provided. 
      • Click the delete button (Trashcan icon) to delete an email.
    • Click Save when done.

Setting notifications for approval requests

  1. Log in to the Online Booking Tool.
  2. In the top right, locate the icon with your initial(s) and expand the menu next to it. 
  3. Select My Profile. The Profile page will be displayed.
  4. Select Notifications from the left side navigation under Profile. The Notifications page will be displayed.
  5. Under the Approval requests section, use the checkboxes to set your notifications preferences as desired. For a list of notification types, see Approval notification types above. These settings do not affect whether the travelers themselves receive any notifications. 
  6. Select the email to which these notifications will be sent. By default, your work email will always receive the notifications you enable. To set additional emails to receive notifications, click Edit. The Email recipients dialog will appear. 
    • Click Add to add another email.
    • Enter the email address in the field provided. 
    • Click the delete button (Trashcan icon) to delete an email.
    • Click Save when done.
