Feburary 2025 - Release Notes

Here are the most recent enhancements to Spotnana’s Travel-as-a-Service Platform. The features are grouped by functional category (Content, Self-service, etc.).

Traveler Experience

New email experience

To help consolidate and reduce the number of emails that travelers and approvers receive from Spotnana, we have released a new email framework modeled on a trip-centric approach. This recognizes that individual bookings exist within the context of a complete trip, ensuring that every notification—whether a new booking, modification, or cancellation—is presented within the traveler’s full journey.


With this update, the following changes have been made:

  • Standardized email headers and subject lines for improved clarity.

  • All trip-related communications will now use the consolidated itinerary format.

  • Every booking change triggers a new consolidated itinerary, with the specific change clearly highlighted.

This update also introduces new redesigned email templates. All trip-related emails will now be sent in one of three standardized formats:

  • Traveler consolidated itinerary email - Sent to travelers, this template features a modern, clean design, optimized for both mobile and desktop. It includes a clear visual hierarchy that highlights important information and an intuitive layout for easy navigation to view trip details. This template will be used for all trip-related emails, including booking confirmations, modifications, and cancellations.

  • Approver consolidated request email - Sent to approvers, this template features a streamlined approval interface with clear visual indicators for required actions and a new View Approvals button that directly links to the approval dashboard.

  • PDF attachment - Sent to both travelers and approvers, this PDF includes a comprehensive trip summary at the beginning for quick reference, a detailed segment-by-segment breakdown, and enhanced payment and transaction details.

This new email experience is now available to our channel partners and customers. For additional information, please reach out to your Partner Success Manager to enable.

Travel Management

Policy: Prevent booking for out of policy bookings

Company administrators are now able to choose Prevent booking as an option when configuring their company's policy. Prevent booking can be selected for out-of-policy bookings, and is available for air, hotel, car, and rail. When Prevent booking is selected, the traveler is blocked from booking any travel that is out-of-policy based on the company’s travel policy configurations. 

To configure Prevent booking, select Policies from the Program menu. The Default policy page will be displayed. Select the desired policy (e.g., Default Policy) in the left hand menu under Policy. Then, expand the General section, scroll down to the Approval section, and use the menu to select the approval type for out-of-policy bookings. For more details, see Setting approval policies or Set approval type (for bookings).

Policy: Lowest hotel room rate

Company administrators are now able set their hotel policy so that only the lowest room rate at each hotel property will be considered in-policy. Spotnana’s travel platform automatically identifies the lowest available rate when a traveler selects a hotel and navigates to its property page. As a result, only the lowest priced room options at each hotel property will be marked as in-policy, and all others will be out-of-policy. If multiple room types share the lowest price, all will be in-policy, and all other rates will be out-of-policy on the hotel’s details page.

To configure, select Policies from the Program menu. Select the desired policy (e.g., Default Policy) in the left hand menu under Policy. Then, expand the Hotel section and locate the Only consider cheapest rate as in-policy setting. For more details, see Only accept lowest rate at hotel as in-policy.

Company report: Air O&D Pairs

Company administrators are now able to view a new report named Air O&D Pairs. This report provides insight into origin and destination (O&D) pair data, including:

  • Top O&D city pairs by spend, ticket price, and ticket count.

  • Top O&D airport pairs by spend, ticket price, and ticket count.

  • Transaction level data with insights into the types of flight itineraries (one-way, round-trip, multi-city) that were booked.

To view this report, select Company reports from the Analytics menu. Then expand the General category on the side navigation and select Air O&D Pairs. You can use the menu and sub-filters along the top of the report to refine the data you are looking for. For more details, see Air O&D Pairs report.

Company report: Content Source Savings

Company administrators are now able to view a new report named Content Source Savings. This report allows administrators to understand the savings they are receiving from travelers booking NDC or other direct connection fares in Spotnana when the same fare is available via EDIFACT. The report features high-level metrics on NDC/direct connection adoption and savings, while offering the ability to drill down into detailed insights, such as savings by airline, route, and more. 

Within the Content Source Savings report, administrators can gain insight into:

  • Cumulative NDC/direct connection spend and the number of bookings via NDC/direct connections.

  • The percentage of PNRs booked through NDC/direct connection channels, relative to the total number of PNRs.

  • Like-for-like savings achieved when booking through NDC/direct connections, compared to EDIFACT fares for the exact same itinerary (same flight numbers, cabin classes, and fare rules).

  • Number of bookings where like-for-like savings were achieved.

  • The percentage of savings achieved by NDC/direct connections across all itineraries that were also available via EDIFACT.

  • Like-for-like savings achieved over time. 

  • Like-for-like savings per airline and by route.

  • Detailed PNR level data.

To view this report, select Company reports from the Analytics menu. Then expand the Savings category on the side navigation and select Content Source Savings. You can use the menu and sub-filters along the top of the report to refine the data you are looking for. For more details, see Content Source Savings report.

Company report: CO2 Emissions

Company administrators are now able to view a new report named CO2 Emissions. This report provides detailed insight into the carbon dioxide emissions produced by a company’s air and rail travel bookings. This includes high-level emission statistics such as total emissions per trip, as well as emissions by travel vendors, date ranges, and more. Administrators can also view and download a transaction-level emissions table for deeper analysis.

To view this report, select Company reports from the Analytics menu. Then expand the Emissions category on the side navigation and select CO2 Emissions. You can use the menu and sub-filters along the top of the report to refine the data you are looking for. For more details, see CO2 Emissions report.

Webhook documentation on Spotnana Developer Portal

The Spotana Developer Portal contains API documentation and guides to help our partners integrate with Spotnana and develop custom solutions on our Travel-as-a-Service platform. We have published new documentation on Spotnana’s webhooks. This includes:

  • Conceptual documentation explaining the onboarding process, best practices, and general overview on how to work with webhooks.

  • All active webhook events along with its schema details.

  • Request and response samples.
