Set lowest property rate at hotel property

You can set your hotel policy so that only the lowest rate at each hotel property will be considered in-policy. As a result, only the lowest priced room options at each hotel property will be marked as in-policy (and all others will be out-of-policy). 

You can also set certain room rate types (e.g., non-refundable) or keywords to be excluded from the lowest property rate calculation. Excluding these rate types will ensure that these room rates are not considered when calculating the lowest room rate for a hotel property.  

To enable this feature, use the procedure below.

  1. Select Policies from the Program menu.
  2. Select the desired policy (e.g., Default Policy) in the left hand menu under Policy.
  3. Expand the Hotel section.
  4. Locate the Lowest property rate setting.
  5. Enable it by setting its toggle on. 
  6. If you wish to exclude certain room rates from the lowest property rate calculation, expand those options (next to the toggle). The exclusion options will be displayed.
    • Select the checkbox for each rate type you wish to exclude (e.g., Non-refundable rates, Pre-paid rates, etc.). These rates will then not be included in the calculation used to determine the lowest room rate at a hotel property. 
    • If you select the Custom keyword exclusions checkbox, you must enter a keyword to be matched. To enter a keyword, click Add keyword. Then enter your keyword and a reason (for the keyword exclusion) and click Save. You can add additional keywords by clicking Add keyword again. Room rates matching the keywords you entered will then not be included in the calculation used to determine the lowest room rate at a hotel property.    
  7. Click Save changes
If this setting is enabled, a room rate may be marked as out-of-policy even if its price is lower than the budget you allow for a particular city simply because it is not the cheapest rate (including any exclusions you may have set) at that particular hotel property. 

If you enabled any rate exclusions, you should also ensure that the relevant hotel policy settings Restrict bookings by and Hotel rate conditions not allowed to be booked are also enabled. For example, if you select the Requires deposit rate exclusion checkbox for Lowest property rate field, you should also select the Requires deposit checkbox for the Hotel rate conditions not allowed to be booked field. Otherwise, you will still allow these room rate types to be booked even though they are excluded from the Lowest property rate calculation.
