Set company notifications

Company administrators are able to configure rules to determine which notifications should be sent company-wide and which email addresses should receive these notifications. The rules are a set of conditions which, if met, will trigger the sending of email notifications to the email addresses you specify. 

To create an email notification rule 

  1. Login to the Online Booking Tool. 
  2. Select Company from the Program menu.
  3. Select Email notifications from under Configuration on the left side. The Email notifications page will be displayed.
  4.  Select the Notification rules tab.
  5. Click Add rule. The Add rule dialog box will appear. 
  6. Enter a name for the rule in the Rule name field. This should be a name that helps other administrators know what the rule is designed to do. 
  7. Use the checkboxes to specify the types of email notifications that you want this notification rule to send (e.g., Booking changes, Booking confirmations, etc.).
  8. Click Add condition (under Set rule conditions) to begin defining the conditions that must be met for this rule to send the notifications you have selected. Conditions are defined as a series of If statements (If X is one of Y, Z, then send the notifications). For example, you could define a rule that says "If Destinationis one of Country X". Use the fields provided to construct your rule. 
    • To add another rule condition, click Add condition. Each subsequent rule condition will be ANDed with the other conditions in the rule (i.e., all conditions in the rule must be met for the rule to trigger the sending of the selected notifications). 
  9. Click Add (under Send to) to designate the email addresses that will receive the notifications you have selected. You can add addresses for CC and BCC. You can add email addresses that are aliases (e.g., support@company.com)
  10. When done setting your rule, click Confirm. Your rule will be added to the list on the Email notifications page. 

To view notification rules and their conditions

  1. Login to the Online Booking Tool. 
  2. Select Company from the Program menu.
  3. Select Email notifications from under Configuration on the left side. The Email notifications page will be displayed.
  4.  Select the Notification rules tab. For each rule, the rule name, email notifications, conditions, and email addresses will be listed. To view the conditions for a specific rule, click in the Conditions column for its row.

To duplicate a notification rule

  1. Login to the Online Booking Tool. 
  2. Select Company from the Program menu.
  3. Select Email notifications from under Configuration on the left side. The Email notifications page will be displayed.
  4.  Select the Notification rules tab. For each rule, the rule name, email notifications, conditions, and email addresses will be listed. 
  5. Locate the rule you wish to duplicate. Select Duplicate from the menu on the right in its row. A duplicate of that rule will be created and added to the row below it. You can then edit the rule (by selecting Edit from the menu on the right) to change its name, email address targets, conditions, etc.

Approver notification settings

  1. Login to the Online Booking Tool. 
  2. Select Company from the Program menu.
  3. Select Email notifications from under Configuration on the left side. The Email notifications page will be displayed.
  4.  Select the Approver settings tab. Set each of the following fields as desired:
    • Send approval request notifications to all approvers by default - If enabled, all approvers will have all approval request notifications enabled by default. However, approvers can still disable these notifications for themselves.
    • Send approval update notifications to all approvers by default - If enabled, all approvers will have all approval decision notifications enabled by default. However, approvers can still disable these notifications for themselves.
