Configure site messaging

Site messaging allows travel managers to send important, relevant, and informative messages to their company employees from directly within the Spotnana’s Online Booking Tool or traveler emails. 

Only travel managers may configure the site messaging feature.

To create a site message

  1. Select Company from the Program menu. The Settings page will be displayed. 
  2. Select Site messaging from the Configuration section. The Site messaging page will be displayed. Travel managers can create new site messages or view current, upcoming, or past site messages. 
  3. To create a new site message, click Create New. The New site message page will be displayed.
  4. Enter a name for the site message (e.g., Holiday travel notice).
  5. Select the Platform on which you want the message to appear to travelers. This can be the Spotnana mobile app, the Spotnana desktop (Online Booking Tool) or email. 
  6. Select the Location. This is the location within the Spotnana Online Booking Tool or app where you want the message to appear (e.g., Checkout page).
  7. Select the message Type. This is location on the Spotnana page where you want the message displayed (e.g., banner at the top of the page)
  8. Set the start and end dates and times. This will determine the time period when the message will be displayed. 
  9. Enter a Message header. This will be the title of the message displayed to travelers. 
  10. Enter the Message text. This is the main message that you want to communicate to your travelers. The message may be a maximum of 160 characters. 
  11.  Enter a URL for a link that travelers can click on to learn more about the subject of the message (optional). This could be more details about the content of the message (that doesn't fit into the 160 character limit for the message) or a link to a reference page with more information for your travelers. This URL link will be displayed within the message you create. When travelers click on the link, it will be opened in a new tab for them.
  12. Use the fields in the Audiences section to define the types of travelers (audiences) who should see this message. The message will only be shown to travelers who meet the conditions defined by you. Click +to add additional conditions (each new condition will be ANDed, meaning they must all be matched for the message to be displayed to the relevant travelers). Your options are:
    • Trip duration - only trips of a duration greater than, lesser than, or equal to the number of days you specify. 
    • Booking type - only trips that are or are not a particular booking type (air, hotel, etc.).
    • Search city - only searches that match or do not match a particular city.
    • Search country -  only searches that match or do not match a particular country.
    • Legal entity - only legal entities that match or do not match what you specify. 
    • Employee office - only employee office locations that do or do not match the office location you specify. 
    • Employee location country - only employee country locations that do or do not match the country you specify.
    • Worker type - only worker types that do or do not match what you specify. Options are Contingent (contractors, non full-time employees), Employee, Intern, Seasonal. 
    • Airline - only airlines which are or are not the airline you specify.
    • Flight type - only flight types (domestic, international) which are the type you specify. 
    • Hotel - only hotels which are or are not the hotel you specify.
    • Hotel brand - only hotels brands which are or are not the hotel brand you specify. 
    • Car vendor - only car rental companies which are or are not the car vendor you specify.
    • Rail operator - only rail operators which are or are not the rail operator you specify.
  13. To delete an audience condition, click the trashcan icon. 
  14. To define a new audience condition, click Add New Audience
  15. Click Save as draft if you are not ready to publish this message or Save and publish if you are satisfied with the message and want to enable it. Remember, the message won't appear until the start date and time you have set.

To view existing site messages

  1. Select Company from the Program menu (the Settings page will be displayed). 
  2. Select Site messaging from the Company section. The Site messaging page will be displayed. Travel managers can view Current, Upcoming, or Past site messages. Select the relevant tab based on which messages you want to view. 
  3. For each message displayed, the following information will be provided: 
    • Message name
    • Start date and time
    • End date and time
    • Platform/Type
    • Location
    • Status
