Here are the most recent enhancements to Spotnana’s Travel-as-a-Service Platform. The features are grouped by functional category (Content, Self-service, etc.).
Traveler Experience
Smart Trip assignment
We've enhanced the booking experience by automatically identifying the most appropriate trip for each booking based on travel dates, destination, and existing itinerary details. This reduces the need for manual trip selection, helping keep related bookings together. As a result, it prevents duplicate trips and ensures the correct travel policies and payment rules are applied in the case of trips booked for events.
Key capabilities include:
- Automatic trip assignment: Automatically assigns bookings to an existing trip or creates a new trip when appropriate, reducing the need for manual trip selection and improving trip organization.
- Intelligent traveler prompts: Prompts travelers to select a trip only when multiple trips are potential matches or when additional input is needed.
- Safeguards to avoid mismatches: Warns travelers when they have manually selected a trip that conflicts with the booking's dates or destination. This helps prevent incorrect trip assignments.
- Event trip recognition: Identifies bookings that may belong to an event trip before checkout, helping ensure the traveler books within the right trip (with event-specific policies, payment rules, and other requirements).
- Enhanced location intelligence: We now match with the ~1,100 most popular booked cities to more accurately associate bookings with the correct trip.
Flights: Interactive seat map experience
Travelers can more easily find and book their preferred seat with a richer, more visual seat selection experience. New interactive seat maps on the Spotnana desktop and mobile app make it easy to compare seat location, legroom, and cabin layouts—giving travelers the confidence to choose and manage their own seats while reducing seat related support requests.
Key capabilities include:
- View-only, full-aircraft seat map previews during flight search.
- Interactive seat selection during checkout for individual travelers and multiple passengers.
- Seat selection in the mobile app with the same core capabilities that are available on desktop.
- Post-booking seat changes can be made from the Trips page.
- Seat characteristics, images, and 360-degree virtual seat tours (when available).
Note: The new seat map experience is only available for certain airline and booking scenarios. The default seat maps will be displayed if the airline or booking scenario doesn’t support the enhanced version.

Outbound flight summary displayed on return results page
We have enhanced the round-trip flight booking experience by displaying a summary of the selected outbound flight on the return flight results page. This gives travelers a persistent reference to their outbound itinerary, making it easier to compare return flight options without navigating back to the previous step.
The outbound summary banner includes:
- Departure and arrival airports
- Operating airline and flight number
- Cabin class
- Details about any stops or connections
This enhancement is currently available for round-trip bookings.

Search: Clearer search results loading experience across Hotels, Car, and Rail
We have updated the search results loading experience across Hotels, Car, and Rail to deliver a more informative and consistent experience across travel types.
Key enhancements include:
- A uniform shopping experience across Hotel, Car, and Rail searches that mirrors the existing flight search experience.
- Progress indicators, and messaging that show results are actively being retrieved.
- A collapsible Rail search summary that aligns with the hotel and car search experience.
Loyalty failure notifications (Air + Hotel)
We have introduced email notifications for flight and hotel bookings that let travelers know when a supplier is unable to accept their loyalty program number during booking. This gives travelers an opportunity to correct the issue instead of only discovering after the trip that points or benefits were not applied.
For flights, travelers can update the loyalty number on the booking itself, within their traveler profile, or add it directly with the airline via their website, mobile app, or by calling customer service. For hotels, where loyalty details cannot be changed on an existing booking, the notification directs travelers to add their loyalty number directly with the supplier on the supplier's website or app.
Improved duplicate booking and continuity alerts
Spotnana has enhanced the booking experience by surfacing duplicate bookings and flagging when itinerary details don’t line up across bookings. These alerts help travelers, bookers, and agents identify potential duplicate reservations or bookings that may conflict with an existing itinerary before completing a reservation.
Regardless of the supplier, alerts are triggered whenever Spotnana detects a potential duplicate reservation or an out-of-sequence itinerary. Alerts are available for bookings made through the online booking experience as well as reservations completed through Shell PNRs and manual forms, helping ensure a consistent experience across booking workflows.
When a potential conflict is identified, users and agents can review the conflicting reservation details and either modify their itinerary or proceed with the booking. If their organization has configured reason codes, users must select the appropriate reason before continuing.
These enhancements help reduce unintended duplicate and out-of-sequence bookings while creating a more intuitive booking experience.
Travel Management
Spotnana Insights: New analytics experience
We've introduced the first phase of Spotnana Insights, our next-generation reporting and analytics experience designed to help organizations get more value from their travel program data. Spotnana Insights delivers modern interactive visualizations, built-in insights, faster performance, automated report scheduling, and expanded export options across more than 30 standard reports, helping organizations better understand travel spend, policy compliance, traveler behavior, savings opportunities, and operational performance.
Key capabilities include:
- 30+ out-of-the-box reports: Access reports spanning spend, savings, traveler behavior, policy compliance, duty of care, sustainability, traveler manifests, and operational reporting.
- Modern analytics experience: Explore travel data through interactive visualizations, built-in insights, contextual report explanations, and faster, more reliable performance.
- Automated report scheduling: Schedule reports for recurring delivery with your preferred filters applied.
- Expanded export options: Download reports in CSV, XLSX, PDF, or PNG formats for easier sharing and analysis.
- Enhanced table usage experience: Sort tables by any column and quickly search within results to find the information you need faster.

Company credit management for unused ticket name changes
We've introduced Company credits, an industry-first capability that enables organizations to reassign eligible unused airline ticket credits from one traveler to another. Instead of leaving credits tied to travelers who no longer need them, organizations can move eligible credits into a shared company pool, helping maximize credit utilization and reduce travel spend.
Key capabilities include:
- Company credit dashboard: Enables administrators to view eligible unused ticket credits, transfer them into a shared company pool, and manage credits across travelers.
- Intelligent credit matching: Surfaces the best available company credits during checkout based on airline eligibility, expiration date, and fare type.
- Self-service access: Enables travelers to redeem eligible unused ticket credits even after they have been transferred to the company pool, while surfacing available company credits at checkout—even when the traveler has no personal credits.
- Company credit redemption at checkout: Enables TMC administrators, company administrators, and agents to view and redeem eligible company credits during checkout. Organizations can enable access for additional user personas, such as all travelers, by contacting their Spotnana Account Manager.
- Automated credit reconciliation: Automatically marks eligible company credits as used when redeemed through supported airline workflows, reducing manual effort for agents.
- Offline credit reconciliation: Enables agents to reconcile company credits redeemed outside the platform using the new Apply unused credits workflow, helping keep credit records accurate and up to date.
- Market-specific eligibility: Displays company credits only in supported markets where airline name changes and unused ticket transfers are permitted.
Note: Company Credits can be enabled for organizations that have the required airline relationships and operational workflows in place.

Company credits: Expanded issuing airline filters for Canadian and Australian carriers
We have enhanced the Issuing airlines filter on the Company credits dashboard to support additional carriers outside of the U.S., including Canadian and Australian carriers.
With this enhancement, the Issuing airlines filter is configurable based on the airlines contracted by each company or TMC, providing a more relevant and flexible experience. Support has been added for Air Canada, WestJet, Porter Airlines, Virgin Australia, and Qantas Airways. Existing multi-select functionality is retained, and any selected airline filters continue to be reflected in exported XLSX reports.
Note: To update the issuing airlines available for your organization, please contact your Spotnana Account Manager.
Hotels: Automated price optimization with Emburse Reshop
We have integrated with Emburse Reshop to help organizations automatically reduce hotel costs after a booking is made. Eligible hotel reservations are continuously monitored for lower rates prior to check-in. When a lower rate becomes available for the same hotel, room type, dates, amenities, and rate conditions, Spotnana automatically updates the reservation - no traveler or agent action required.
Travelers are notified when savings are achieved, and their trip details are updated to reflect the new booking cost and savings generated through their organization's price optimization program. Organizations can also configure exclusion rules to prevent specific bookings, travelers, payment methods, or room types from being automatically rebooked.
Key capabilities include:
- Continuous hotel rate monitoring for eligible bookings from the time of booking until check-in.
- Automatic rebooking when a lower qualifying rate is found, while preserving the existing trip and booking.
- Traveler notifications that highlight the savings achieved, along with updated trip details reflecting the lower rate.
- Configurable exclusion rules to exclude specific traveler types, payment methods, booking types, or room characteristics from automatic rebooking.
- Seamless trip continuity, allowing travelers to benefit from lower rates without needing to rebook manually.
Note: This enhancement is available for customers with an Emburse Reshop contract. It currently supports eligible, modifiable Sabre hotel bookings and requires configuration by Spotnana.

Hotels: Display company logo only at preferred properties
We have enhanced the hotel shopping experience to help travelers more easily identify preferred properties. Organizations can now choose to display their company logo on negotiated rates for just those hotels that are designated as preferred within their travel program.
When enabled, negotiated rates at non-preferred properties are displayed without company branding, making it easier for travelers to distinguish preferred booking options.
Note: This enhancement applies to Spotnana-sourced hotel content and is available as an optional configuration. Contact your Spotnana Account Manager if you are interested in enabling it for your organization.
Improved precision for rail CO₂ emissions reporting
Spotnana now reports rail CO₂ emissions with two decimal places of precision across analytics, the Trips API, and data exports, providing more accurate emissions data for sustainability reporting and analysis.
Previously, rail emissions were displayed with full precision (up to two decimal places) during booking but rounded to whole numbers in analytics reports and API responses. With this enhancement, emissions data is now reported consistently across the platform, ensuring the values in reports and downstream integrations match what travelers see during booking.
This improvement benefits organizations that rely on Spotnana's emissions data for ESG reporting, sustainability initiatives, and carbon tracking by providing more accurate emissions figures for rail travel.
The enhanced precision is automatically applied to:
- The CO₂ Emissions report in Analytics
- The Trips API and PNR V3 webhook
- CSV, XLSX, and PDF report exports
Custom reason codes for duplicate booking and continuity checks
Spotnana now enables TMC and company administrators to configure Custom fields to capture the reason for proceeding with a potential duplicate or out-of-sequence booking.
When duplicate booking or continuity alerts are triggered, users are required to select a configured reason code before completing their booking. This applies to reservations completed through checkout, Shell PNR finalization, and manual forms, ensuring consistent data capture across booking workflows.
Additional capabilities include:
- Configurable reason codes tailored to your organization's travel policies.
- Ability for travel managers to view and filter by reason codes in My reports.
- Support for duplicate booking and continuity alerts across all suppliers.
- Visibility into selected reason codes on the Trips page under Travel data.
- Enhanced booking history that records the booker's name, email address, accepted alerts, and a timestamp to support auditing and reporting.
This enhancement gives organizations greater control over policy exceptions while improving visibility into duplicate and out-of-sequence booking decisions.
Custom fields travel data on the approval dashboard
We've enhanced the approval experience by displaying custom travel data directly within the Approval request details. Approvers can now view all custom fields entered during checkout (e.g. trip purpose, project code, client name, and reason codes) without leaving the approval workflow, providing additional context to support informed approval decisions.
Key improvements include:
- Displays all custom fields submitted during checkout in a dedicated Travel data section within the Approval request details.
- Surfaces custom travel data for both in-policy and out-of-policy trips across web and mobile.
Trips: Improved handling of expired empty trips
We have refined our trip lifecycle rules to keep the All trips view cleaner and easier to navigate. Previously, empty trips remained in the Upcoming section after they expired, creating unnecessary clutter for travel administrators managing active travel. With this enhancement, expired empty trips are automatically moved from Upcoming to Completed, where they remain available for historical reference without obscuring active trips.
TMC Management
Automated airline credit creation for eligible Sabre exchanges
Spotnana now automatically creates and tracks Miscellaneous Charges Orders (MCOs) when a Sabre flight exchange results in a non-refundable residual value. This eliminates the need for manual processing, making credits available more quickly while improving visibility into available funds for future travel.
When an eligible exchange is completed, Spotnana automatically:
- Creates the airline MCO credit without agent intervention.
- Captures and stores the credit details, including the airline, value, expiration date, itinerary, and ticket information.
- Adds the credit to the traveler's profile, allowing travelers and agents to view available credits and their associated restrictions in real time.
- Automatically creates an agent task if the credit cannot be generated, helping ensure no eligible credits are missed.
This enhancement streamlines the exchange process, reduces manual effort, and helps travelers make better use of their available airline credits.
Expedia: TMC administrators now able to configure tech provider settings for Expedia
TMC administrators can now configure Expedia Tech Provider credentials directly within the Expedia PCC configuration. This enables self-service onboarding for TMCs using Expedia's Tech Provider model while continuing to support the existing Affiliate model.
No action is required for existing Affiliate customers, as current configurations have been migrated automatically. To learn more, see instructions on how to configure your Expedia PCC on the Spotnana platform In Spotnana University.
Note: Tech Provider integrations currently support prepaid (Expedia Collect) rates only.
Agent experience
Manual Form enhancements for outside bookings
We have introduced a broad set of enhancements to the Manual Form, making it easier for travel agents to import bookings made outside the Spotnana platform while improving data accuracy and financial reconciliation. These updates streamline manual booking workflows, expand support for additional booking scenarios, and strengthen the information passed to back-office systems.
Key enhancements include:
- Expanded support for manually importing guest and multi-passenger bookings.
- Updated supplier lists and comprehensive global rail station and vendor data.
- Enhanced ancillary charge capture, enabling agents to add seat selections and baggage purchases with associated EMDs, charges, and itemized tax breakdowns.
- Improved tax handling with currency-specific IATA tax code selection, detailed tax allocation for individual charges, and support for market-specific invoicing requirements, including Canada.
- Framework enhancements and bug fixes to improve stability and performance, along with centralized reference data for airports, airlines, and hotels to increase data accuracy.
- Safeguards that prevent changes to supplier and currency information after ticketing, helping maintain data integrity.
Shell PNR and Manual Form support for multi-passenger personal guest bookings
We've enhanced Shell PNR and Manual Form workflows to support multi-passenger bookings that include employee-associated personal guests. Agents can now create offline reservations for employees traveling with personal guests, as well as guest-only bookings associated with an employee, providing a more consistent booking experience across online and offline workflows.
Key enhancements include:
- Expanded traveler support:Enables agents to create Shell PNR and Manual Form bookings for:
- Employee with one or more personal guests
- Multiple personal guests associated with an employee
- Personal guest-only itineraries associated with an employee
- Employee with a child or infant
- Personal guest with a child or infant associated with an employee
- Personal guest profile management: Enables agents to select, create, edit, and save personal guest profiles directly within Shell PNR and Manual Form workflows, or create one-time guest profiles for individual bookings.
Note: When an employee is not traveling, guest-only bookings must still be associated with an employee as the trip owner. This enhancement applies to personal guests associated with an employee profile. Support for company guest bookings is unchanged.

Task Dashboard: Custom views and enhanced filtering
We have enhanced the Task Dashboard to give TMC agents and administrators a more personalized and efficient way to manage their work. In addition to the existing default views, users can now apply filters to create and save custom dashboard views tailored to their workflows, making it easier to focus on the tasks that matter most.
Users can create multiple custom views, pin frequently used views for quick access, reorder views to match their priorities, and manage all default and custom views from a single location. Existing filters have also been consolidated into a single menu for a cleaner, more streamlined experience, and updated task priority icons provide improved visual distinction to help users quickly identify high-priority work.
Key enhancements include:
- Create and save custom Task Dashboard views.
- Pin and reorder frequently used views for faster access.
- Manage default and custom views from a centralized Manage views menu.
- Streamlined filtering with a consolidated filter menu.
- Updated task priority icons for improved visibility and recognition.

Agent Desktop: Redesigned side navigation
We've redesigned the left-hand side navigation bar in the Agent Desktop, providing agents and administrators with a cleaner, more intuitive navigation experience that aligns with Spotnana's latest designs.
The experience varies slightly depending on whether your organization uses the Twilio contact center. TMCs not using Twilio will see the redesigned side navigation, while TMCs using Twilio will see updated navigation icons and a reorganized dashboard experience.
Key enhancements include:
- Modernized navigation experience: Redesigned navigation icons and visual styling for the side navigation, with the new navigation bar available for TMCs not using Twilio and updated dashboard icons for TMCs using Twilio.
- Updated dashboard organization: For TMCs using Twilio, dashboards are now grouped by function—such as Operations, Insights, and Settings—making it easier for agents to quickly find the tools they use most often.
- Flexible navigation: The side navigation can be expanded to display dashboard names and descriptions or collapsed to show icons only, giving agents more workspace when needed.
