Restrict airfare bookings by keyword

Overview

Administrators can specify keywords or terms that will cause certain airfares to be unbookable (blocked). Any fares that match the keywords you enter will be viewable but not bookable by travelers within your organization. 

You can set keywords to block fares for just a specific airline, a list of airlines, or for all airlines. The keywords you enter are matched against flight fare names using complete word matching. Matching is case-insensitive and keywords are evaluated independently. For example, the keyword “basic” would match “Basic Economy” and “Economy Basic”, but not “Base Economy”.

Add a keyword to restrict fares by

  1. Select Policies from the Program menu.

  2. Select the desired policy (e.g., Default Policy) in the left hand menu under Policy.

  3. Expand the Flight section.

  4. Scroll down to and expand the Restrict by fare name field (there may already be some keywords defined).

  5. Click Add restriction. The Add fare name restriction dialog box will appear.   

  6. Search for and select the airlines to which you wish to apply this keyword restriction or select Apply to all airlines to apply the keyword restriction to all airlines. 

  7. Enter the keywords you wish to apply the booking restriction to in the Fare name keyword field. You can enter more than one keyword term. Multiple terms must be separated by commas (e.g., basic economy, non refundable).

  8. Click Save. All fare names that contain the keywords you entered and match the airlines you specified will be restricted from being booked.

  9. Click Save changes

The system will display the keyword that is preventing the fare from being booked to the traveler if they attempt to select a fare that is restricted due to keyword matching.

Edit an existing keyword that is being used to restrict fares

  1. Select Policies from the Program menu.

  2. Select the desired policy (e.g., Default Policy) in the left hand menu under Policy.

  3. Expand the Flight section.

  4. Scroll down to and expand the Restrict by fare name field.

  5. Locate the keyword restriction you wish to edit and select Edit from the menu on the right side of its row (you can also click X next to a specific keyword to remove it). The Add fare name restriction dialog box will appear.   

  6. Edit the keywords or airlines as desired. 

  7. Click Save. All fare names that contain the keywords you entered and match the airlines you specified will be restricted from being booked.

  8. Click Save changes.

View existing keyword restrictions for air

You can view the keywords that are currently being used to restrict the fares that are bookable for a given policy. 

  1. Select Policies from the Program menu.

  2. Select the desired policy (e.g., Default Policy) in the left hand menu under Policy.

  3. Expand the Flight section.

  4. Scroll down to and expand the Restrict by fare name field. The list of keywords being used to block which fares are bookable for this policy will be displayed. 

    • Keywords that apply to all airlines will be listed first, with the value All airlines displayed in the Airlines column.

    • Keywords that only apply to specific airlines will be listed next, with the name of the airline displayed in the Airlines column.
