Add a new virtual payment method
Use this procedure to add a new virtual payment method for your organization. You also have the ability to limit who can use this payment method and what kinds of bookings they can use it for.
This feature is only available to company administrators.
Login to the Online Booking Tool.
Select Company from the Program menu. The Settings page will be displayed.
Select Payment methods from the Payment section on the left. The payment methods page will be displayed.
Click Add new (in the Virtual payment methods section). The Add new payment method dialog will be displayed.
Configure the following settings for your virtual payment method.
Under Card details:
Booking type - Select Hotel or Car. Depending on which of these you select, some additional settings may be required.
Client ID - Enter your Conferma Client ID (the ID Conferma has provided you with).
Card name - The name of the virtual payment method. This will be how the payment method appears to users.
Card type - The credit card issuer associated with the virtual card (e.g. Mastercard, Visa).
Set this card as mandatory - If selected, travelers will only be able to use this payment method when making hotel or car bookings (depending on which booking type you selected).
Under Card usage instructions:
User roles - Designate which user roles will be able to use this payment method. The options are Everyone, Admins and agents only or Agents only.
Profile type - Designate which traveler types may use this payment method. The options are All travelers, Employee, Company Guest, Personal Guest. You can select more than one option.
Trip type - Designate the trip types that may use this payment method. The options are Standard trips and Event/template trips (events or trips based on trip templates). This option is available only if your company is using the trip templates/events feature on the Spotnana OBT.
Priority order on checkout - The order in which this payment method will be displayed in the list of other payment options presented at checkout.
Note: If you select the Set this card as mandatory checkbox for a virtual payment method, it will be the only payment method presented to travelers (who match the criteria of your usage targeting).
Legal entity - Select the legal entities that will be allowed to use this payment method. This can be used to limit which travelers can use the payment method. You must select at least one legal entity. Only travelers in the legal entities you select here will have access to this payment method.
Car vendors (cars only) - Designate the rental car companies for which this payment method may be used. This field only appears if you set the Booking type field to Car.
Then, under Payment instruction, set the The card pays for field. This designates how much the payment method can be used to spend. Options are:
Booking amount only - The payment method will only cover the specific booking amount.
Booking amount + Percentage buffer - The payment method will cover the specific booking amount plus a percentage of that booking amount. If you select this option, you must also set the Percentage buffer field (e.g., 10, for 10% of the booking amount).
For payment methods set to be used with hotels, you will also need to set the Additional instructions for the hotel when charging the card field. Options are Allow all hotel charges or Specify allowed services. If you select Specify allowed services, use the text field provided to enter the services that are allowed.
Booking amount + Daily allowance - The payment method will cover the specific booking amount plus a daily allowance. If you select this option, you must also set the Daily allowance fields (currency and amount). For example, this could be set to $45.
For payment methods set to be used with hotels, you will also need to set the Additional instructions for the hotel when charging the card field. Options are Allow all hotel charges or Specify allowed services. If you select Specify allowed services, use the text field provided to enter the services that are allowed.
Booking amount + Percentage buffer + Daily allowance - The payment method will cover the specific booking amount plus a percentage of that booking amount AND a daily allowance. If you select this option, you must also set the Percentage buffer field (e.g., 10, for 10% of the booking amount) and the Daily allowance fields (currency and amount).
For payment methods set to be used with hotels, you will also need to set the Additional instructions for the hotel when charging the card field. Options are Allow all hotel charges or Specify allowed services. If you select Specify allowed services, use the text field provided to enter the services that are allowed.
Click Save. The virtual payment method will be saved and made available to the users you have designated.
Notes:
Travelers will be unable to apply their rental car loyalty memberships for bookings that use virtual payment methods. This is communicated to the traveler when booking within the platform.
If a particular rental car option only accepts virtual payment options and that payment option has not been enabled for that traveler, that car rental option will not be displayed to that traveler.
Any modifications to virtual card configurations or unmasking of card numbers are logged and will provide detailed information including user email, reason, time and date on which the action was taken and the previous and current values of the modified field.
Edit a virtual payment method
You are able to edit virtual payment configurations.
Login to the Online Booking Tool.
Select Company from the Program menu. The Settings page will be displayed.
Select Payment methods from the Payment section on the left. The payment methods page will be displayed.
Locate the virtual payment method you would like to edit (in the Virtual payment methods section) and open the 3 dots menu on the right side of its row.
Click Edit payment method. The Update payment method dialog will be opened. Refer to the instructions in Add a virtual payment method section of this page for guidance on how to set the various fields.
