Book a flight

Use this procedure to search for and book a flight. 

You can choose to create a trip beforehand via the Trips page or create the trip while making the booking. Any bookings you make must eventually be added to a trip.
  1. Log in to the Online Booking Tool.
  2. Click Book on the main menu.
  3. Ensure that the Flight icon on the left is selected. 
  4. Select the desired type of flight.
    • Round trip
    • One way
    • Multi-city
  5. Then, fill in the relevant fields for the type of flight you selected:
    • For Round trip: Enter your Where from and Where to locations. Enter your Departure and Return dates.
    • For One way: Enter your Where from and Where to locations. Enter your Departure date.
    • For Multi city: Enter your Where from and Where to locations. Enter your Departure date. Then click Add a flight to enter the next location and specify your locations and departure date. 
    • You can add travelers by clicking Add travelers. You can then use the + and - buttons to add as many travelers as you need.
  6. Click Search Flights. The Flights page will show flight options that match the criteria you entered. The fares are organized into fare class columns (Basic, Economy, Premium, Business, First). 
    • If no fare is shown in the fare class column, that fare class is not available for that flight on that day or at that time. 
    • If you are booking a round trip or multi-city itinerary, the Flights page will only show results for one leg at a time.  
    • If you are searching for domestic flights and rail options exist for that same destination (and the rail option is less than 5 hours in duration), rail will be presented as an alternative sustainable option. You can then select either the rail option or proceed with your flight search. 
  7. You can select any of the following filters to limit your list of options:
    • Stops 
    • Airlines
    • Time
    • Refundability - Allows you to limit flight options to refundable fares.
    • Show out of policy - Allows you to limit flight options to those that comply with the applicable company travel policies. The default is to show them. 
    • Show separate tickets - Allows you to limit flight options to those that do not require separate tickets to book. This type of booking is NOT recommended as it includes mixed fare rules and may lead to some restrictions.
  8. You can use the Sort By options to sort the flight options as needed.
  9. To expand and view the options for a particular fare class, hover over it and click the red arrow below it. This will expand the choices. You can then review the amenities for each of the fare options. 
  10. Click Select to proceed with a particular fare option. If you are booking a round trip or multi-city flight, you will repeat the fare selection process for each leg of your trip. 
    Note that if you select a fare that is more expensive that what your company suggests (considers reasonable) for that route, you may be presented with options for cheaper fares. If you decline these cheaper fares and choose the more expensive option, your booking will be out-of-policy and may be subject to approval.
    When fares have been selected for all legs of your trip, the Checkout page will be displayed. 
  11. The Checkout page allows you to verify your flights, review fare restrictions, review and update traveler contact and document details, enter loyalty program information (if not automatically uploaded), make your seat selection (some airlines do not provide this), and make any special service requests that might be needed. Review and update this information as needed. If your trip involves international travel, click Check Visa Requirements to view visa requirements. 
  12. Click Next.  
  13. The second Checkout page will be displayed. This page will show a detailed price for the flight booking (including base price for the flights and taxes). This is also where you can:
    • select a trip for your flight booking. You can either select an existing trip or create a new one. 
    • select a payment method. 
      • In some cases, a default payment method may already be selected or your company may only allow specific payment methods to be used. 
      • Some forms of payment may not be accepted by certain airlines. When this occurs, you will need to select (or add) a different payment method. In some cases (e.g., multi-carrier itineraries), no available form of payment may be accepted. If this occurs, contact an agent to complete the booking. 
      • For some airlines, the charge on the statement for the payment method you used may appear as being from your travel management company (instead of the airline itself). 
    • enter any company-specific information that may be required (e.g., Reason for Travel).
    • review any important travel updates. 
  14. When you are ready to complete your booking, click Book Flight. Your selected flight(s) will be booked. 
You will receive an email confirmation of your flight booking.


Note: For any flights within your upcoming and completed trips, you can click Book again to search for that flight on the same or different dates, for yourself or another traveler. Spotnana will indicate if the previously booked flight is available or not.
