Allow air cabin upgrades with a personal payment method
To allow travelers to book a cabin class higher than the highest one normally allowed by your travel policy, you must enable the Allow personal upgrade setting and set the Dynamic Flight budget fields (for Domestic and International) in the relevant policies to a value that is some amount More than lowest logical fare.
To enable the “Allow personal update” setting:
Select Policies from the Program menu.
Select the relevant policy from the menu on the left.
Expand the Flight settings section.
Scroll down to and expand the Highest cabin class - Domestic flights section.
Enable the Allow personal upgrade toggle.
Scroll down to and expand the Highest cabin class - International flights section.
Enable the Allow personal upgrade toggle.
Click Save changes when done.
The in-policy approval workflow will apply for any bookings that use the Allow personal upgrade feature.
To set the budget values for the relevant policy:
Select Policies from the Program menu.
Select the relevant policy from the menu on the left.
Expand the Flight settings section.
Scroll down to the Budget section (you may need to click Set Budget to expand this section).
For the Dynamic flight budget - Domestic and Dynamic flight budget - International fields:
Enter a value
Select $ or %
Select More than lowest logical fare
Click Save changes.
These values will designate how far above the LLF value a fare can be before it violates the budget for the policy.
Once these settings are enabled, the system will allow travelers to select a cabin class higher than what’s allowed by policy. This setting will only be invoked if the traveler selects a cabin class higher than what the applicable policy normally allows and the fare for the selected cabin class exceeds the LLF value. The traveler will then need to pay the full cost of the ticket using their personal payment method (but will be able to use the booking confirmation to submit a request for reimbursement for the portion that is within the allowed budget). The portion of the fare that is reimbursable as well as what is the traveler’s responsibility will be clearly displayed on the Checkout page. The traveler will also be required to acknowledge responsibility for the additional cost (via a checkbox).
