If you have two legal entities with the same name
This feature is only available for clients with legal entities located in India.
The Spotnana platform requires legal entity names to be unique. The unique legal entity name for each record is saved in the Legal entity name field (see image below) on the Edit legal entity page. The value entered in this field must be unique for each legal entity within the company. Legal entity name is a required field.
However, in some cases, a company may have two legal entities with the same name. If this is the case, you would enter the name that is shared by both legal entities in the Registered name field (the value in this field does not need to be unique). You would then enter a unique value in the Legal entity name field for each of the legal entities.
If a value has been entered in the Registered name field, that is the value Spotnana will use for any official communications with the relevant government authorities. If there is no value in the Registered name field, Spotnana will use the value in the Legal entity name field for any official communications with the relevant government authorities. This allows the correct value to be used for each scenario.
How does this work
For example, if you had two legal entities, both called Acme, you would:
- enter Acme-A in the Legal entity name field for the first legal entity.
- enter Acme-B in the Legal entity name field for the second legal entity.
- enter Acme in the Registered name field for BOTH legal entities.
As a result, Acme (in the Registered name field) would be the value communicated to the relevant government authorities. But Acme-A and Acme-B would be used to ensure that the value in the Legal entity name field was unique (allowing the legal entity record to be saved).
Registered email
This is primary email (or alias) used for the legal entity for official communications, including regulatory, compliance, and invoicing purposes. Ensure this email account is valid and monitored.
The email entered in the Registered email field is used for the legal entity regardless of whether you are using the Legal entity name or the Registered name as the primary identifier for the legal entity.
How does this affect CSV file uploads for legal entities
If you are using CSV files to upload your legal entities into the Spotnana platform and you have legal entities that share the same name (and are therefore not unique), you will need to ensure that the value in the Legal entity name field in the CSV file is unique for each of those legal entities. Then, after your CSV upload is complete, since the Registered email field is not present in the CSV file structure, you will need to manually edit the value of the Registered email field (in the Online Booking Tool) for each legal entity with a shared name and ensure that that field is set appropriately.
